Chesapeake Nannies, LLC ("Chesapeake Nannies," "we," "us," or "our") provides caregiver referral, matching, placement, and related services. This notice describes how we collect, use, disclose, retain, and protect information received through this website, our forms, telephone calls, email, consultations, client and candidate portals, and related business systems. It does not replace any separate placement agreement, candidate agreement, or legally required authorization.
2. Information we may collect
Depending on whether you are a family, caregiver candidate, referral partner, or other visitor, we may collect identifiers and contact details; general location; preferred communication method; referral source; scheduling information; household and position preferences; availability; qualifications; work history; references; interview and matching notes; service status; payment and transaction records; communications; consent records; and technical information such as browser, device, IP address, timestamps, and security logs.
Information about children or other household members should be limited to what is reasonably necessary for matching and placement. Adults providing information about another person represent that they are authorized to do so. Our public inquiry forms are intended for adults and are not directed to children.
3. Information that must not be submitted through a public form
Do not submit Social Security or tax-identification numbers; driver's-license, passport, or other government-ID numbers or images; full birth dates; financial account or payment-card details; passwords or authentication codes; medical, disability, or genetic information; complete background-check reports; or other highly sensitive documents through a public website form or ordinary email. If such information becomes necessary, we will identify a more appropriate collection method and explain why it is needed.
4. How we use information
We may use information to:
- respond to inquiries and schedule consultations;
- evaluate service needs, candidate qualifications, and possible matches;
- provide, administer, improve, and document placement services;
- communicate about applications, interviews, placements, services, and support;
- process authorized transactions and maintain business records;
- prevent fraud, abuse, unauthorized access, and security incidents;
- enforce agreements, protect people and property, and resolve disputes; and
- comply with applicable legal, tax, accounting, licensing, and regulatory obligations.
5. Consent and communication choices
When you submit an inquiry, you authorize us to process the information for the purposes described above and to contact you about that inquiry by the methods you provide. Operational communications about an active inquiry or service relationship are separate from promotional marketing. Where required, we will request separate consent before sending marketing messages. You may withdraw optional consent or opt out of marketing, but doing so does not affect processing already completed and may not stop communications necessary to provide requested services or meet legal duties.
6. When information may be shared
We may disclose information to authorized personnel and contractors; families and candidates involved in a potential match; reference providers; background-screening, payment, hosting, communications, document-management, security, analytics, and professional-service providers; insurers, auditors, lawyers, and accountants; and government authorities or other parties when required or permitted by law. We expect service providers to use information only to perform services for us and to apply appropriate safeguards. We may also disclose information in connection with a merger, sale, financing, reorganization, or transfer of all or part of the business, subject to appropriate confidentiality and legal requirements.
We do not sell personal information for money.
7. Our systems and service providers
We may use customer-relationship management, email, scheduling, automation, file storage, website hosting, payment, and security services to operate the business. A client or candidate may experience these services as one Chesapeake Nannies workflow even when specialized providers perform different functions. We aim to avoid unnecessary duplication and keep highly sensitive source documents out of general-purpose records whenever practical.
8. Security and incident response
We use reasonable administrative, technical, and organizational safeguards designed for the nature of the information and the size of our business. Measures may include access controls, multifactor authentication, least-privilege permissions, encryption provided by our vendors, anti-malware and spam protection, logging, backups, staff procedures, data minimization, and secure disposal. No method of transmission, processing, or storage is completely secure, and we cannot guarantee that an unauthorized event will never occur.
If we discover or reasonably suspect that sensitive information was submitted through an inappropriate channel or exposed without authorization, we may restrict access, preserve necessary evidence, remove unnecessary copies, move information to a more appropriate system, reset credentials, investigate scope, contact affected providers or individuals, and make notices required by applicable law. 9. Retention and disposal
